Heavy Machinery Pros sells new industrial machinery that ships by freight carrier. Because of the size, weight, and value of these machines, our return terms differ from those of a typical consumer retailer. Please read this policy in full before ordering.

Inspect your delivery before you sign

This is the single most important step in protecting your purchase.

Freight carriers are responsible for damage that occurs in transit, but only if that damage is documented at the time of delivery. Before you sign the delivery receipt or bill of lading:

  • Inspect the crate, pallet, and shrink wrap for punctures, crushing, water staining, or shifted load.
  • Check that the machine is still properly secured to its pallet.
  • Count the pieces against the bill of lading. Many machines ship in multiple crates.
  • Photograph the shipment on the truck before it is unloaded, and again after.

If you see any damage, write a specific description of it on the delivery receipt before signing. Do not write "subject to inspection." Describe what you see: "gouge in crate, left front corner," "control panel door bent." If the damage is severe, you may refuse the shipment entirely; contact us before doing so if possible.

A clean, unqualified signature on the delivery receipt tells the carrier the machine arrived in good condition. Once that signature is given, freight claims are very difficult to win, and we may be unable to help you recover the loss.

Concealed damage

If the crate looked sound but the machine inside is damaged, notify us within 5 business days of delivery. Keep all packaging, crating, and pallets exactly as received until the claim is resolved; carriers routinely inspect the packaging and will deny claims when it has been discarded. Send us photographs of the damage, the packaging, and the bill of lading.

Concealed damage reported after 5 business days generally cannot be claimed against the carrier and becomes the buyer's responsibility.

Order cancellations

  • Before the machine ships: you may cancel for a full refund, less any credit card processing fees we have already incurred, provided the manufacturer has not yet begun crating or scheduled pickup.
  • After the machine ships: a cancellation is treated as a return under the terms below, and you are responsible for freight in both directions.
  • Special, custom, or non-stock orders are not cancellable once placed with the manufacturer.

Returns

Returns are accepted at our discretion and require a Return Merchandise Authorization (RMA) issued by us in advance. Machines returned without an RMA will be refused.

To request an RMA, contact us within 30 days of delivery at info@heavymachinerypros.com or 888-837-7517 with your order number and the reason for the return.

To be eligible for return, a machine must be:

  • Unused and in new, resalable condition;
  • Never wired in, powered on, or run;
  • Free of any oil, coolant, hydraulic fluid, or lubricant that has been added;
  • Complete with all tooling, chucks, guards, manuals, and accessories as shipped;
  • Repackaged in its original crating and secured to a pallet suitable for freight transport.

If an RMA is approved:

  • Return freight is paid by the buyer, including any liftgate, residential, or limited-access charges. We can arrange the return shipment and bill it to you, or you may arrange your own carrier.
  • Original outbound freight charges are not refundable.
  • A restocking fee of 25% of the machine's purchase price applies. This reflects the manufacturer's own restocking terms, re-crating, and reinspection.
  • The machine must be returned to the address shown on the RMA, which is typically the manufacturer's facility rather than our office. Do not ship returns to our business address.

Returned machines are inspected on arrival. If a machine arrives used, damaged, incomplete, or inadequately packaged for freight, we may reduce or decline the refund accordingly.

Non-returnable items

The following cannot be returned under any circumstances:

  • Machines that have been used, wired in, or powered on;
  • Special-order, custom-configured, or made-to-order machines;
  • Machines that have been modified, disassembled, or repaired by anyone other than an authorized service technician;
  • Tooling, blades, cutters, abrasives, and other consumables once opened;
  • Machines damaged by improper rigging, installation, storage, or operation after delivery.

Wrong or defective items

If we ship the wrong machine, or a machine arrives with a manufacturing defect, contact us within 5 business days of delivery. We will work with the manufacturer to repair, replace, or take the machine back at no freight or restocking cost to you. Defects discovered later are handled under the manufacturer's warranty.

Manufacturer warranty

Every machine we sell carries the warranty of its manufacturer. Warranty terms, length, and coverage are set by the manufacturer, not by Heavy Machinery Pros, and warranty service is performed through the manufacturer's authorized service network. We will help you open a warranty claim and stay involved until it is resolved. The manufacturer's warranty is separate from and not affected by this return policy.

Refunds

Once a returned machine has been received and inspected, we will notify you whether the refund is approved. Approved refunds are issued to the original payment method within 10 business days of inspection, less the restocking fee and any deductions described above. Your bank or card issuer may take additional time to post the credit.

Questions

If anything here is unclear, ask us before you place your order rather than after. We would rather spend twenty minutes on the phone up front than sort out a freight claim later.
